Use Case: Policy Management

Alyne provides your organisation with a modern way of communicating policies to your teams through an easily accessible and interactive platform, built to influence behaviours and protect the best interests of the business.

Introduction

Policies are an important tool to articulate the rules of the organisation and influence the behaviour of your teams to protect the interests of the business and its stakeholders. But how do we influence the behaviour of a new generation of employees joining the workforce? Will a document on a shared drive really be the tool that reaches a digital native twenty something? Many of our customers leverage Alyne’s Software as a Service to achieve a modern way of communicating policies to a target audience. Some common challenges and success factors have emerged.

Common Challenges

  • Design by Committee
While getting smart people in a room can form a great creative process, designing by committee usually leads to incoherent, lengthy and inefficient policy documents. Form a small group of stakeholders and enable them to represent your interests.
  • Prose Text
While we are used to writing in prose text, it is not an efficient way to communicate rules that need to be clear, precise and most of all measurable.

  • Broad Communication
Commonly overarching and long documents are created to cover all aspects that require governance. The target audience then needs to analyse this document and pick out the relevant morsels of information without confidence that nothing has been missed.

Success Factors

  • Tailor Review and Sign Off
Have individual stakeholders only sign off on elements that they have direct accountability or rather than asking a large groups’ buy in for the entire policy.

  • Target Specific Content
Create relevant and target specific content for small groups. Avoid individuals having to analyse large amounts of data to find applicable rules.

  • Easy and Continuous Interactions
Avoid a big bang for rolling out new rules. Rather foster a culture of iteration and get people involved in the policy portal as a source of relevant knowledge.
